Agreement - Terms

Room Set-up and Table Sizes

Rooms can be set with round tables (6-8 people per table), theatre, classroom, combination, open square/rectangle or boardroom styles. Special seating arrangements may be requested and will be accommodated if possible. Available table sizes are: Rounds 60” – Rectangle 18” x 60” and 30” x 60”

Flowers and Decorations

Floral table centerpieces or other arrangements can be supplied at additional cost. No confetti may be used on our premises.

Deliveries and Storage

OBA will accept deliveries only on the day of your function and all deliveries must be prepaid. OBA will also make arrangements to have your material returned to you with a prepaid slip from your courier service. Due to limited storage space, OBA cannot undertake to store your boxes, equipment or other property overnight nor will OBA be responsible for damage or loss of any merchandise or articles on the Association premises prior to, during or following your function.

Walls

No tape or attachments to walls, drapes or blinds is allowed. Static sheet are permitted on the wall.

Food & Beverage

OBA will be happy to cater your function and can serve anything from light lunches to savory meals – buffet style or sit-down, hot or cold. OBA can provide menus to suit any budget. Provincial sales tax, GST and Service Charges (where applicable) are extra and will be added to food and beverage prices. Only food and beverage supplied through OBA and its caterers may be brought onto OBA premises and you agree that you will not knowingly permit any food or beverages to be brought on to the premises without OBA’s prior approval.

Displays

Where applicable, all displays on exhibit must conform to Toronto City Fire Code Ordinance Rules and must be approved by OBA prior to any function.

Advertising

Except for OBA’s address, OBA’s name may NOT be used under any circumstances in advertising a function without prior written consent from OBA.

Cancellation Policy

If your function is cancelled thirty (30) days prior to the date of the function, your deposit will be refunded.

If it is cancelled within ten (10) to twenty-nine (29) days of the meeting date, the deposit is forfeited.

If it is cancelled within nine (9) days to 48 hours of the meeting date, the rental of the room must be paid in full. If it is cancelled within 47 hours or less of your meeting, all food and beverages which have been ordered must be paid for in full.

Loss or Damage

OBA shall not assume any responsibility for the damage or loss of any merchandise or articles on its premises prior to, during or following your function and you are encouraged to ensure that appropriate insurance coverage is in place for your event. You are responsible for any loss or damage to the OBA premises or equipment and will be invoiced for any loss or damage that may occur.

Performance of Agreement and Force Majeure

The performance of this agreement by either party is subject to acts of God, war, government or civil disorder, government act, regulation or order, strike, lockout or other work stoppage, curtailment of transportation facilities, fire, flood or other emergency, making it inadvisable, illegal or impossible to provide the facilities or the services or to hold the event. It is provided that this agreement may be terminated without liability for one or more such reasons by written notice from one party to another.

Construction or Renovations

The Ontario Bar Association Conference Centre agrees to give 30 days notice of any construction or remodeling to be performed in its premises that might interfere with the event. In such circumstances the OBA Conference Centre will provide equal alternative space within the Conference Centre, failing which the Group may cancel the agreement without liability.

Governing Law

The laws of the Province of Ontario govern this agreement.
